Website applications
The website accepts guided applications for 2027. Submission records an application or service request. The school makes each admission and service decision separately.
Enrolment and re-enrolment include the parent declaration. Monthly payments, transport and regular boarding are conditional steps in those journeys. Current families can request these services separately. Fee assistance has its own application. Withdrawal notice and any refund request share one application. Regular and occasional boarding share one flow with separate conditions.
The website saves each step and provides a reference and resume code. Each required signer receives an email confirmation code. The acceptance record preserves the exact terms, details, signer, role and time. A different responsible fee payer must accept their own obligations.
Submission does not approve a service, discount, payment plan or refund. The school receives the application record and evidence by email. School decisions and payment records remain separate.
1 Enrolments
1.1 New enrolments
If your child is new to GGS, submit a complete enrolment application pack. Include these documents:
- A completed and signed enrolment form.
- Copies of the most recent academic and behavioural reports.
- Transfer documents from the previous school, if applicable.
- A certified copy of the student’s birth certificate, passport, national ID or other identification.
- A certified copy of the parent’s or guardian’s identification.
- A national examination certificate, if applicable.
- Entrance test results for Grades 1–12.
The student must attend a formal enrolment interview with the Deputy Principal, Principal or Directors.
1.2 Enrolment fee
Pay the K500 enrolment fee when you submit the enrolment form. This fee is non-refundable. Section 1.4 gives the condition for a one-time transfer to a sibling.
1.3 Continuing students
Pay the K100 re-enrolment fee by Week 9 of Term 4, 2026. This fee is non-refundable. The school credits this payment to Term 1 tuition fees for 2027.
1.4 Transfer of an enrolment fee
An enrolment fee transfer is possible if a newly enrolled student withdraws before school starts. The school can transfer the fee to a sibling once.
1.5 Staff fee exemptions
Children of full-time, permanent staff do not pay enrolment or re-enrolment fees.
1.6 Withdrawal
Give the school at least 14 calendar days’ written notice of a school withdrawal. Use the website withdrawal and refund application. Section 4.2 gives the tuition refund conditions.
Section 4.3 gives the boarding cancellation conditions. These include boarding cancellations with shorter notice before term starts.
1.7 Confirmation of a place
The school gives confirmation of an enrolment or re-enrolment only after all these conditions are met:
- The school has received all required documents.
- The applicable enrolment or re-enrolment fee and holding deposit have been paid.
- All outstanding balances from previous years have been settled.
1.8 Withdrawal of an offer
The school can withdraw an enrolment offer if any of these conditions applies:
- Fees are not paid by the specified deadlines.
- Required documents are incomplete.
- A parent or guardian has given false or misleading information.
2 Fees
2.1 Tuition fees
The tuition payment options are annual payment, termly payment and an approved monthly payment plan. These annual rates apply to the full 2027 academic year if you pay by 31 January 2027. Section 3 gives the Early Bird discount conditions.
| Grade level | Annual tuition | Per term |
|---|---|---|
| Daycare and Kindergarten | K5,660.18 | K1,958.78 |
| Preparatory and Grade 1 | K6,664.99 | K2,222.00 |
| Grades 2 and 3 | K7,853.48 | K2,618.00 |
| Grades 4 and 5 | K9,033.82 | K3,011.00 |
| Grades 6–8 | K10,526.18 | K3,409.00 |
| Grades 9–10 | K11,738.54 | K3,624.00 |
| Grades 11–12 | K12,864.04 | K3,913.00 |
2.2 Boarding fees
| Annual | Per term | Monthly by approval |
|---|---|---|
| K25,000 | K7,500 | K2,700 |
The same boarding fees apply to all boarding students in Grades 3–12. The school invoices boarding fees separately from tuition fees. Boarding fees include:
- Accommodation in school boarding houses.
- Three meals each day.
- Laundry.
- 24-hour supervision and pastoral care.
- Weekend and evening programmes.
Section 8 gives the boarding deposit and other conditions. After term starts, boarding fees for that term are non-refundable, except for an approved medical withdrawal under Section 4.
2.3 Graduation levy
All Grade 12 students must pay the K300 graduation levy. The school invoices this levy in Term 1. The levy includes the costs of graduation gowns, certificates, photographs and events.
2.4 Lunch and after school programmes
| Programme | Eligibility and provision | Per term |
|---|---|---|
| Lunch | Daycare–Grade 6 day students; daily hot lunch with a drink | K700 |
| After school | Grades 1–6; supervised study and activities, Monday–Thursday, 2:00– 5:00 pm | K600 |
2.5 Payment options and deadlines
Pay annual fees by 31 January 2027. Pay term fees by 4:00 pm on the first day of each term.
Standard approved monthly plans cover January to December. The administration fee is K150 per student per month. Section 5.5 gives the conditions for a separate schedule after January.
Under Section 5.6, the late payment penalty is K100 per student per week. After more than two weeks overdue, the school can exclude a student from classes or boarding under Section 5.6.
2.6 General conditions
An existing student’s late return, absence, holiday or suspension does not decrease tuition fees. The school issues invoices in Week 9 of the previous term. Use the payment methods in Section 5.
2.7 New enrolments during a term
A new student who enrols from Week 7 onwards pays half of that term’s tuition. This fee reduction does not apply to an existing student who returns late.
Grade 10 and Grade 12 students pay for all four terms. This includes the term in which their national examinations finish.
3 Discounts
3.1 Early Bird discount
The Early Bird discount is 10% of tuition. For annual payment, the school must receive and receipt the full annual tuition by 4:00 pm on 31 December 2026. For termly payment, the discount applies only to Term 1 tuition paid by the same deadline.
The discount does not apply to boarding, levies, bus fares, lunch or after school programme fees.
3.2 Sibling discount
A family with more than one child enrolled at GGS in 2027 can qualify for these tuition discounts. The child in the highest grade is the first child. The table shows the discount for each child’s position in the family order.
| Child order | Tuition discount |
|---|---|
| First child — highest grade | No sibling discount |
| Second child | 5% |
| Third child | 10% |
| Fourth child and each subsequent child | 15% |
Biological, adopted and legally dependent siblings are eligible. Give the school birth certificates, adoption orders or court-issued guardianship papers to show the relationship.
All siblings must be enrolled in the same academic year. The discounts apply only to tuition. The school reviews sibling discounts each year.
3.3 Discount cap and exceptions
The maximum standard tuition discount is 15% per student. Approved staff concessions, academic scholarships and financial hardship relief are exceptions. The permitted ranges for these exceptions are in Section 3.5.
3.4 One discount per student
Only one discount category can apply to a student. If more than one category applies, select the single highest-value discount for which the student qualifies. Do not use more than one discount.
3.5 Other discount categories
| Category | Tuition concession | Conditions |
|---|---|---|
| Staff children | 25%–100% | Full-time, permanent staff; verified annually |
| Academic scholarship | 10%–100% | National examination results or internal academic performance |
| Financial hardship relief | Up to 25% | Documented financial need; assessed case by case |
These concessions need a formal application and approval. They apply only to tuition.
3.6 Academic scholarships for Grades 8–12
Academic scholarships are for exceptional academic achievement. For some awards, the school also examines financial need.
Submit Annex A by Week 3 of Term 1. Include these documents:
- Recent national examination certificates for Grade 8, 10 or 12, if applicable.
- The previous year’s report with a minimum GPA of 3.5, an average of 80%, or straight A grades.
- A recommendation from a teacher or principal.
- A personal statement of at least 200 words, written by the student.
The school can interview shortlisted applicants. An award applies for one academic year. The school reviews academic performance and conduct each term. If the student does not meet the required standards, the school can decrease or withdraw the scholarship.
3.7 Forfeiture of a discount
A student loses the discount if any of these conditions applies:
- Payment is late.
- The student withdraws during the term.
- Required documents are not submitted by the deadline.
- The student is suspended or expelled.
3.8 Hardship assistance
A family in financial hardship can submit Annex A at any time during the year. Include evidence, such as redundancy letters, court orders or medical reports. The Week 3 scholarship deadline does not limit hardship applications.
Approved assistance can include a fee reduction, extended payment terms or bursary support. Hardship assistance alone does not make an approved fee reduction or bursary repayable. Deferred fees remain payable. A signed repayment agreement is necessary for deferred fees.
The written approval must identify the assistance type, amount, period and any review conditions.
4 Refunds
The withdrawal date and reason determine the refund conditions. Use the website withdrawal and refund application. Staff use the refund procedure to assess, calculate and pay tuition or boarding refunds.
4.1 General principles and application
Fees remain payable for the enrolled period. Attendance does not change this obligation. Do not transfer school fees between students, except for the enrolment fee transfer in Section 1.4.
Submit the withdrawal notice through the website. Include proof of payment, the withdrawal notice and all applicable supporting documents. Include a certified medical report if you request a medical exception.
The school uses the notice dates, withdrawal reason and payment records to assess the application. Submitting an application does not establish a refund entitlement.
The four-week processing period starts when the school receives the complete application and all required supporting documents. The school must process approved refunds no later than four weeks after that date. The K300 processing fee applies once per student for each approved refund application.
4.2 Tuition withdrawal refunds
| Withdrawal timing | Tuition refund |
|---|---|
| Before term begins, with written notice received at least 14 calendar days before the first day of classes | 75% of tuition |
| Before term begins, with fewer than 14 calendar days’ written notice | No standard refund |
| After term begins and by the end of Week 3, with at least 14 calendar days’ written notice | 50% of tuition |
| After the end of Week 3 | No refund |
The effective withdrawal date is the date the parent or guardian gives in the written notice. For a tuition refund, the school must receive at least 14 calendar days’ written notice. The last day of attendance is not sufficient to set the withdrawal date.
For the 50% tuition refund, both these conditions must apply:
- The notice meets the 14-calendar-day requirement.
- The withdrawal takes effect by the end of Week 3.
Count weeks from the first official school day of the term. The school does not consider retrospective refund claims. The medical exception below remains available. Use the refund procedure after selecting the applicable rule.
4.3 Boarding fees and deposit
Submit the boarding cancellation notice through the same website application. The notice period starts when the school receives the notice. Count calendar days before the first official school day of the affected term. The student’s planned move-in date does not change this deadline.
| Written notice received | Boarding refund for the affected term |
|---|---|
| At least 14 calendar days before term starts | 100% of eligible fees |
| Fewer than 14 calendar days before term starts | 50% of eligible fees |
| On or after the first day of term | No refund, except an approved medical withdrawal |
Eligible fees are payments allocated to the affected term, excluding the boarding reservation deposit credited to those fees. The K1,000 boarding reservation deposit remains non-refundable. The refund procedure below covers annual prepayments, deposit allocation, later unused terms and the processing fee.
4.4 Medical withdrawal
A pro-rata tuition refund is possible for withdrawal because of medical incapacity of at least six weeks. Include a certified medical report from a registered practitioner. An approved medical withdrawal can also qualify for a pro-rata boarding refund.
The Director of Operations must give written approval for any medical exception. The approval must state the reasons and calculation. The School Director must approve the refund before payment.
4.5 Non-refundable charges
These charges are non-refundable:
- Enrolment and re-enrolment fees.
- Levies, including graduation levies.
- Uniforms.
- Lunch and after school programme fees.
- Other ancillary charges.
Bus pass conditions are in Section 6.6. The school-place holding deposit has its own conditions in Section 5.7. It is non-refundable except for withdrawal because of medical reasons or confirmed relocation, supported by evidence. Do not treat it as the K1,000 boarding reservation deposit.
4.6 Situations that do not qualify
These situations do not qualify for a refund:
- Disciplinary suspension or expulsion.
- Family holidays, travel or other voluntary absences.
- Illness of less than six weeks.
- Voluntary withdrawal without the required notice, except for shorter-notice boarding refunds before term under Section 4.3.
- Grade 10 or Grade 12 students who finish the year early after national examinations.
4.7 Processing period and fee
The processing period starts when the school receives the complete application and all required supporting documents. The school must process approved refunds no later than four weeks after that date. The processing fee is K300 per student for each approved refund application.
Subtract this fee once after calculating the total approved refund for that student’s application. This applies when tuition and boarding are refunded together. Do not charge it separately for each fee type or term.
4.8 Refund calculation and annual prepayments
Use this procedure for tuition and boarding refund applications. Keep the assessment and calculation with the application record.
Step 1: Check the dates, reason and applicable rule
Record the notice-receipt date, term start date, effective withdrawal date and withdrawal reason. For tuition, check the 14-calendar-day notice requirement and the effective withdrawal date. For boarding, count calendar days from the school’s receipt of notice to the first official school day of term. The planned move-in date does not change the boarding notice period.
Select the tuition or boarding rule from the tables above. Check the situations that do not qualify.
For medical tuition, check incapacity of at least six weeks. Include a certified medical report from a registered practitioner. An approved medical withdrawal can also qualify for a pro-rata boarding refund. Get the Director of Operations’ written approval for the medical exception. The approval must state the reasons and calculation.
Step 2: Recalculate an annual prepayment
If the family paid annually, recalculate the account at the applicable term rates. Do not calculate the refund by dividing the annual fee pro rata. Reverse any Early Bird discount before calculating the refund.
Step 3: Identify eligible amounts and exclude non-refundable charges
Check payment receipts and their allocation to this student, fee type and term. Exclude non-refundable charges from the refund calculation. Apply the separate holding-deposit and bus-pass conditions where relevant.
For boarding, exclude any reservation deposit credited to the affected term before applying the refund percentage. Exclude the K1,000 deposit only once, from its recorded allocation. Do not subtract it again if it was already excluded or credited to tuition.
Step 4: Calculate each eligible refund
Apply the applicable tuition percentage to the eligible tuition amount. Apply the applicable boarding percentage to the eligible boarding amount for the affected term. For an approved medical exception, use the calculation stated in the written approval.
For annual boarding prepayments, assess later unused terms after the term-rate recalculation and exclusion of non-refundable charges. Those later unused terms are refundable. The 50% short-notice rate applies only to the affected term, not to the full annual prepayment.
Step 5: Subtract the processing fee once
Add the eligible refunds for this student’s application. Subtract K300 once from that total. Do not subtract it again for another fee type or term in the same application.
Example: a K7,500 boarding payment includes the K1,000 reservation deposit. The school receives notice at least 14 calendar days before term starts. Eligible boarding fees are K7,500 minus K1,000, or K6,500. The refund is 100% of K6,500 minus K300, or K6,200.
Step 6: Get approval and process payment
The School Director must approve the refund. A medical exception also needs the Director of Operations’ written approval. Process the approved refund within four weeks after receipt of the complete application and all required supporting documents. Pay the original payer by the original payment method, usually bank transfer. Payment to a third party needs the original payer’s written authorisation.
4.9 Payment of refunds
Refunds need approval from the School Director. The school pays the refund to the original payer by the original payment method, usually bank transfer. Payment to a third party is possible only with written authorisation from the original payer.
5 Payments
Use the approved payment methods below. These methods let the school identify the student account, issue a receipt and keep an accurate payment record. Sections 5.1–5.3 give the payment and evidence requirements.
5.1 Approved payment methods
Pay tuition, boarding, levies, bus fares, uniforms, lunch and after school programme charges into an official school bank account. Use direct bank deposit or electronic transfer. The school accepts bank branch deposits, BSP mobile banking and online banking transfers.
The account holder for both accounts is Goroka Grammar School.
| Bank | Account number | Branch | SWIFT |
|---|---|---|---|
| BSP | 1013732589 | Goroka (301) | BOSPPGPM |
| Kina Bank | 11270022 | Goroka | KINIPGPG |
The school does not give a payment account for Credit Corporation or Westpac. The school does not accept:
- Cash payments to the school.
- EFTPOS.
- Personal or company cheques.
- Money transfer services, such as Western Union, MoneyGram or PayPal.
5.2 Payment reference
Use the payment reference format SURNAME-FEE TYPE-TERM.
Examples are KARAU-TUITION-T1 and TOLI-BOARDING-T2.
The school needs a clear reference to allocate payment to the correct account.
5.3 Proof of payment
Send proof immediately after each payment. Use a scanned deposit slip or a mobile banking screenshot. Send it to one of these Administration Finance contacts:
- Email: bursar@gorokagrammarschool.org
- WhatsApp: +675 7350 5179
Use only these contacts for payment evidence. The school does not respond to payment messages sent to other addresses or accounts. The school does not issue an official receipt until it receives proof of payment. The bank payment and its proof are both necessary for an official school receipt.
5.4 Payment deadlines
| Payment type | Deadline |
|---|---|
| Annual | 31 January 2027 |
| Termly | 4:00 pm on the first day of each term |
| Approved monthly plan | 1st of each month, January–December 2027 |
The separate Early Bird deadline is 4:00 pm on 31 December 2026.
5.5 Monthly payment plans
Set up a separate monthly payment plan for each student. Work through the steps below before the plan starts.
Step 1: List the charges covered by the plan
For standard full-year tuition, calculate four terms at the published term rate. Subtract any approved tuition discount. The annual prepaid rate applies only if the annual payment conditions in Section 2.1 are met.
Standard full-year monthly boarding costs K2,700 × 12 months = K32,400 before deposit credits and administration fees. The published annual and termly boarding rates remain separate options. List any approved additional charges separately in the plan. For a later enrolment, use only charges for the student’s applicable enrolment period.
Step 2: Apply eligible credits and calculate the additional deposit
The minimum deposit is 20% of one term’s approved fees. These earlier payments count towards that minimum when credited to fees covered by the plan:
- The K100 re-enrolment fee credited to Term 1 tuition.
- The school-place holding deposit credited to Term 1 fees.
- The K1,000 boarding reservation deposit credited to the student’s tuition or boarding fees.
Administration Finance records the boarding reservation deposit’s allocation. Record tuition credits separately from boarding credits. The payments keep their respective non-refundable conditions. The payment table below gives their amounts, deadlines and exceptions.
Subtract eligible earlier credits from the minimum deposit. Pay only the additional amount needed to reach that minimum. If the credits meet or exceed the minimum, no additional deposit is needed. Any excess credit decreases the remaining plan balance.
Do not credit a payment twice. Do not use it for another student or for a fee outside the approved plan. The K500 new-enrolment fee is separate and is not a tuition or boarding credit. Its one-time sibling transfer remains available under Section 1.4.
Step 3: Calculate the standard monthly instalment
The standard plan has 12 instalments from January to December 2027, including school holiday months. The administration fee is K150 per student per month, or K1,800 for 12 months. It applies once per student, including when tuition and boarding share a plan.
Calculate the standard monthly instalment as follows:
- Add the approved full-year charges.
- Subtract credits and deposits paid.
- Add K1,800 in administration fees.
- Divide the remaining amount by 12.
- Round each instalment to two decimal places.
- Adjust December’s payment for any rounding difference.
Deposit credits decrease the balance. They are not additional fees.
Step 4: Set the schedule and get approval
Each standard instalment is due on the 1st of the month, from January to December 2027.
If a student joins after January, get approval for a separate schedule for the remaining months. The schedule must include only the applicable enrolment period and charges. The school must not charge fees for a period before the student’s enrolment. The agreed schedule must be signed before the plan starts. Use that approved schedule for the payment dates and amounts.
The Director of Operations must approve the plan. The responsible fee payer must accept the approved website monthly payment agreement for each student. The school must receive the required deposit before the plan starts.
Step 5: Pay each instalment and send proof
Pay each instalment by its agreed due date.
Use an official school bank account.
Use the monthly payment reference format SURNAME-PLAN-MONTH.
Send proof immediately to bursar@gorokagrammarschool.org or WhatsApp +675 7350 5179.
Include the student’s full name, grade and plan reference with the proof of payment.
The school does not issue an official receipt until it receives proof of payment.
Step 6: Apply the missed-payment rules
The late payment penalty is K100 per student for each overdue week. Only one weekly penalty applies, even when several fee items or instalments are overdue. The first penalty applies on the day after the due date. A further penalty applies after each additional seven days while the account remains overdue.
The school issues a written overdue notice that identifies the student, amount and required action. After more than two weeks overdue, the school can suspend the student from classes. It can withdraw the student from boarding. It can also withhold reports, transcripts and examination entry.
If two or more monthly due dates are missed in the same agreement, the school revokes the plan. The missed due dates do not have to be consecutive. The unpaid balance then becomes payable immediately.
Step 7: Request reinstatement
Reinstatement needs approval, payment of the unpaid balance and payment of the K200 reactivation fee. If you have payment difficulties, contact the Administration Finance Office without delay.
5.6 Late payment and continued non-payment
The late payment penalty is K100 per student for each overdue week. Only one weekly penalty applies to that student. This rule also applies when more than one fee item or instalment is overdue.
The first penalty applies on the day after the due date. A further penalty applies after each additional seven days while the account remains overdue.
The school issues a written overdue notice. The notice identifies the student, the amount and the action required.
After more than two weeks overdue, the school can:
- Suspend the student from classes.
- Withdraw the student from boarding.
- Withhold reports, transcripts and examination entry.
If you have payment difficulties, contact the Administration Finance Office without delay.
5.7 Holding deposit for a school place
The holding deposit is 10% of Term 1 fees. For a new enrolment, pay it not more than 14 days after acceptance. For a continuing student, pay it by Week 9 of Term 4, 2026. The school subtracts this deposit from Term 1 fees.
The deposit is non-refundable except for withdrawal because of medical reasons or confirmed relocation. Evidence must support the exception. This school-place holding deposit is separate from the K1,000 boarding reservation deposit in Section 8.2.
5.8 Applying deposits and earlier payments
Use this table to identify each enrolment payment and deposit. Use the monthly-plan procedure above to apply eligible credits and calculate any additional plan deposit.
| Payment and purpose | Amount | Deadline | Credit to fees | Refund conditions |
|---|---|---|---|---|
| New-enrolment fee — application payment under Section 1.2 | K500 | When submitting the enrolment form | No tuition or boarding credit | Non-refundable; one-time sibling transfer before school starts under Section 1.4 |
| Re-enrolment fee — continuing enrolment under Section 1.3 | K100 | Week 9 of Term 4, 2026 | Term 1 tuition | Non-refundable |
| School-place holding deposit — hold the school place under Section 5.7 | 10% of Term 1 fees | New enrolment: within 14 days of acceptance. Continuing student: Week 9 of Term 4, 2026 | Term 1 fees | Non-refundable, except withdrawal for medical reasons or confirmed relocation, supported by evidence |
| Boarding reservation deposit — reserve boarding under Section 8.2 | K1,000 | On admission | The student’s tuition or boarding fees; allocation recorded by Administration Finance | Non-refundable; release of the place does not remove an existing fee credit |
Children of full-time, permanent staff do not pay enrolment or re-enrolment fees. The school-place holding deposit and boarding reservation deposit are separate payments.
5.9 Account queries and review
Send invoice queries, missing-payment details or refund review requests to one of these contacts:
- Email: bursar@gorokagrammarschool.org
- WhatsApp: +675 7350 5179
- Administration Finance Office.
Include the student’s full name, grade, invoice or receipt reference, amount and supporting evidence. Administration Finance examines the account and gives a written explanation or correction.
If the query remains unresolved, you can request a written review by the Director of Operations. For a refund decision made by that Director, you can request a School Board review through the Administration Office.
Any changed payment arrangement or suspension of a disputed charge needs written confirmation. Undisputed amounts remain payable.
6 Bus fares and transport
The GGS bus service has zone fares, allocated routes, valid passes and conduct rules.
6.1 Bus zones and fares
| Zone | Distance | Weekly | Termly | Yearly |
|---|---|---|---|---|
| A | Up to and including 5 km | K35 | K300 | K900 |
| B | Over 5 km to 10 km | K45 | K400 | K1,200 |
| C | Over 10 km to 15 km | K55 | K500 | K1,500 |
| C+ | Over 15 km | K65 | K600 | K1,800 |
6.2 Other pass options
| Pass | Price | Conditions |
|---|---|---|
| 10-use ticket | K300–K600 | Zone dependent; valid within the same term |
| Casual daily pass | K40–K60 | Zone dependent; one-way or return on a specified day |
| Emergency one-way pass | K20–K30 | Zone dependent |
The Transport Office gives confirmation of the applicable zone and pass price for each area.
6.3 Zone descriptions
The Transport Office issues a separate transport schedule before services start each term. The schedule identifies:
- The areas in each zone.
- Pickup and drop-off points.
- Routes and times.
- Drivers and monitors.
Before you buy a pass, get confirmation of your allocated zone from the Transport Office.
6.4 Bus assignments and routes
The transport schedule records bus and staff assignments. The Transport Office tells affected families about changes. It records the student’s approved route in Annex C. The preferred route needs confirmation and available capacity.
6.5 Bus pass and conduct rules
Show a physical bus card to the driver or monitor each day before you board. Without the card, you cannot board the bus. There are no exceptions.
Replacement cards cost K20. Get a replacement from the Administration Office.
Students must stay seated. They must behave respectfully. They must obey safety instructions. Continued misconduct can cause suspension or cancellation of bus privileges.
For a route change, send a written request to the Transport Office. The change depends on availability.
6.6 Pass validity and refunds
A weekly pass is valid only for the week purchased. Weekly passes are non-refundable.
A termly pass is non-refundable after the student uses the bus service during that term. From Monday of Week 3 onwards, you cannot buy a termly pass.
The school calculates refunds for yearly passes on a termly basis. It subtracts a K50 administration fee. The yearly-pass refund rule does not change the weekly or termly pass conditions.
7 Uniforms
Students must wear the approved uniform during school hours, official excursions and specified school events.
7.1 General expectations
Keep uniforms clean, well-fitting and in good repair. Visible garments must have the official GGS logo. They must comply with the approved tailoring.
For warmth, students can wear additional garments under the uniform if those garments are not visible. Wear only school-issued sweaters or blazers over the uniform.
Keep hair neat, tidy and a natural colour. Do not use extreme hairstyles.
Do not wear make-up, nail polish, false nails or jewellery. The permitted exceptions are:

8 Boarding
8.1 Boarding fees
| Annual | Per term | Monthly by approval |
|---|---|---|
| K25,000 | K7,500 | K2,700 |
The approved monthly option has 12 charges of K2,700 from January to December. The total is K32,400 before deposit credits. The K150 monthly administration fee applies once per student to the combined approved payment plan.
The school’s approved boarding calendar sets the accommodation period. Payment months do not extend that period.
8.2 Boarding deposit and reservation
Reserve the place and record the deposit credit
Pay the K1,000 boarding reservation deposit on admission. This deposit is non-refundable. The school subtracts it from the student’s school fees or boarding fees. Complete Annex E. This deposit is separate from the school-place holding deposit in Section 5.7. Administration Finance records the deposit’s allocation to tuition or boarding fees.
Move in by the deadline
The student must move into boarding by the end of Week 3 of the relevant term. Use the deadline in the school calendar. If the student has not moved in by that deadline, the school releases the reserved place. A later application depends on available space.
Release of the place and payment obligations
If the school releases the place, the K1,000 deposit remains non-refundable. Any credit applied to the student’s fees must remain on that student’s account. The school must not charge that credited amount again. Release of the place does not remove the fee credit. Fees remain payable for the enrolled period, regardless of attendance. Release of the reserved place does not establish a refund entitlement for other payments.
Request cancellation and a refund
Use the website withdrawal and refund application. Include the required evidence. The school uses the notice-receipt date to select the boarding refund rule. The planned move-in date does not change the notice deadline. The refund procedure covers eligibility, annual prepayments, deposit allocation, the processing fee, approval and payment.
8.3 Occasional boarding
Day students can apply for short-term or weekend boarding. A place depends on available space. The daily fee is K250. It includes meals, accommodation and supervision.
8.4 Inclusions
Boarding includes:
- Three balanced meals each day and afternoon tea.
- Shared dormitory rooms with staff supervision.
- Weekly laundry.
- Pastoral care, including supervision, roll calls, mentoring and counselling support.
- Supervised evening and weekend study sessions.
- Supervised weekend recreation, cultural activities and faith-based activities.
8.5 Expectations and leave
Boarders must obey the Boarding House Rules and the school’s Behaviour Management Policy. Serious breaches can cause suspension or withdrawal of boarding privileges without a refund.
Students must stay in boarding during term unless they have authorised leave under the boarding leave policy. Request boarding leave through the website. Parent consent, the student undertaking and staff approvals remain separate. The school records sign-out and return with the request.
8.6 Medical care
The school gives basic medical support on campus, including access to the school nurse. The school refers serious cases to Goroka Base Hospital. Parents pay external medical costs.
Boarding students must give updated medical clearance. Give or update medical and emergency details through the website. These details do not replace required medical clearance. They must give current information about allergies, medications and emergency contacts.

10 Parent declaration and agreement
Each enrolled student must be covered by a signed parent or guardian declaration. You can list more than one student on this declaration. The declaration records that the family has read, understood and accepted the 2027 School Fee Policy.
10.1 Declaration
I/we have read the full 2027 School Fee Policy. I/we understand the fees, payment deadlines, discount conditions and refund rules. I/we understand the transport requirements and uniform standards.
I/we will pay all charges when due. I/we understand that a discount can be lost and that late payment penalties can apply. I/we understand that continued non-payment can cause suspension from classes or boarding under this policy.
The named responsible fee payer accepts responsibility for the student’s account. Employer or sponsor contributions must identify the student and the charges covered. If the sponsor pays late or does not pay, the responsible fee payer remains responsible for unpaid amounts. This applies unless the school has accepted a different written arrangement.
I/we will tell the school without delay in writing about changes to contact details. If payment difficulties occur, I/we will contact the Administration Office early. I/we will support the child’s compliance with school rules, attendance, uniform and conduct requirements.

Complete one agreement for each student. The plan starts only after all these conditions are met:

List charges and match eligible credits
For standard full-year tuition, use four published term charges less the approved tuition discount. The standard monthly boarding charge is K2,700 for each of 12 months, or K32,400. List other approved fees separately.
These payments count towards the deposit when credited to fees covered by this plan:
- The K100 re-enrolment fee credited to Term 1 tuition.
- The school-place holding deposit credited to Term 1 fees.
- The K1,000 boarding reservation deposit credited to tuition or boarding fees.
The school-place holding deposit is 10% of Term 1 fees. Administration Finance records the boarding deposit’s allocation. The payments keep their respective non-refundable conditions. The K500 new-enrolment fee is separate and is not a tuition or boarding credit.
Complete the deposit and instalment calculation
| Calculation | Amount K |
|---|---|
| Tuition at applicable term rates before approved discount | |
| Less approved tuition discount and category | |
| Boarding if selected — K2,700 × 12 = K32,400 | |
| Other approved fees — attach itemised statement | |
| Total approved charges before credits | |
| One term’s approved fees used for the 20% deposit | |
| Minimum deposit — 20% of the preceding amount | |
| Eligible earlier credits — attach receipts and allocations | |
| Additional deposit required and paid | |
| Total credits and deposits applied once | |
| Remaining fees after credits and deposits | |
| Administration — K150 × 12 = K1,800 per student | 1,800.00 |
| Total remaining payable including administration | |
| Monthly instalment — total remaining payable ÷ 12 |
Record tuition credit allocations separately from boarding credit allocations. Count each credit once, for this student and a fee covered by the plan.
Subtract eligible earlier credits from 20% of one term’s approved fees to identify the additional deposit needed. If the credits meet or exceed that minimum, no additional deposit is needed. Any excess credit decreases the remaining plan balance. The additional deposit cannot be less than zero. For a rounding difference, December’s payment can be adjusted.
For a later enrolment, use only the applicable enrolment period and charges. Attach the separately approved remaining-month schedule. Do not charge fees for a period before the student’s enrolment. The Director of Operations must approve the plan. The responsible fee payer must sign the agreed schedule before the plan starts.

Agreement
I accept the approved charges, deposit credits and payment schedule attached to this agreement.
The standard plan has 12 payments. Each payment is due on the 1st of the month, from January to December, including holiday months.
The administration fee is K150 per student per month. It applies once, including when tuition and boarding share a plan.
The late payment penalty is K100 per student per week under Section 5.6. It does not apply separately to each overdue item. The first penalty applies on the day after the due date. A further penalty applies after each additional seven days while the account remains overdue.
Two missed monthly due dates in this agreement cause revocation of the plan. The missed due dates do not have to be consecutive. The unpaid balance then becomes payable immediately. Reinstatement needs approval, payment of the unpaid balance and payment of the K200 reactivation fee.
After more than two weeks overdue, the school can suspend the student from classes. It can withdraw the student from boarding. It can also withhold reports, transcripts and examination entry. If a sponsor does not pay, the responsible fee payer still has the payment obligation. This applies unless the school has accepted a different written arrangement.
Withdrawal is not an automatic cancellation of the account balance. The school must assess any refund through the refund procedure. Any change to the schedule needs written approval from the Director of Operations.

Calculate the refund in this order
Follow the refund procedure. Use the calculation fields below to record the result.
- Check payments and their allocation to this student, fee type and term.
- Recalculate annual prepayments at the applicable term rates.
- Reverse any Early Bird discount before calculating the refund.
- Exclude non-refundable charges, including any boarding reservation deposit in its recorded allocation once.
- Calculate eligible tuition and boarding refunds using their separate rules.
- Add those refunds for this student’s application.
- Subtract K300 once from that total.
Do not subtract the deposit again if it was already excluded or credited to tuition. The 50% short-notice boarding rate applies only to the affected term. Later unused boarding terms are refundable after annual recalculation and exclusion of non-refundable charges. For a medical exception, use the Director of Operations’ written reasons and calculation.

Guided website application
Use the boarding website application. The questions collect the relevant details below. The website reuses student and family details already entered. The school receives the full record and private evidence by email. Submission does not grant approval.
The fields below describe the online questions and the retained staff record. Parents submit and confirm the request through the website. The school must adopt electronic acceptance before it replaces these signatures.
Regular boarding and occasional boarding have separate questions and conditions. The regular reservation deposit does not apply automatically to occasional boarding.

Parent acknowledgement
The move-in deadline is the end of Week 3 of the relevant term. I understand these conditions:
- The school releases the place if the student has not moved in by the deadline.
- If the place is released, the K1,000 deposit remains non-refundable.
- Any credit applied remains on this student’s account.
- The school must not charge that credited amount again.
For cancellation and a refund request, submit Annex D to the School Administration Office with the required evidence. The school counts calendar days from receipt of notice to the first official school day of term. The planned move-in date does not change the notice deadline.
Before term starts, the boarding refund is 100% of eligible fees with at least 14 calendar days’ written notice. With shorter notice before term, the refund is 50% of eligible fees. After term starts, there is no refund for that term except for an approved medical withdrawal.
The school recalculates annual prepayments at the applicable term rates. It reverses any Early Bird discount before calculating a refund. The 50% short-notice rate applies only to the affected term. Later unused boarding terms are refundable after recalculation and exclusion of non-refundable charges.
The school excludes the boarding reservation deposit once from its recorded allocation. It does not subtract it again if it was already excluded or credited to tuition. The K300 processing fee applies once per student for each approved application, including tuition and boarding together. The refund procedure gives the calculation, approval and payment steps.
I understand the selected boarding payment option. The monthly option has 12 charges of K2,700 from January to December. The administration fee applies once per student under the approved plan.
